If guests see your desktop or presenter notes, verify which display is assigned to the audience before starting the film. Mirrored displays show the same content; an extended desktop allows different content but still needs correct application placement. Microsoft explains external display connections and PowerPoint presenter view on multiple monitors. A setting on the laptop is only part of the test.
Identify the screens physically
Connect the planned cable or venue switcher. Use the operating system's display identification to map each numbered screen to the laptop and the room display. Do not assume that a previously saved number still refers to the same output after reconnecting.
Choose the arrangement appropriate to the playback application. If using an extended desktop, verify the audience window's location. If using PowerPoint presenter view, assign the slide show and notes to the intended displays. A general video player may simply need its playback window moved and enlarged on the audience display.
Rehearse with harmless content
Start a test slide or short video that contains no private notes. Ask a venue operator to confirm what appears on the screen. Then test the actual presentation mode and video start action. Looking at the laptop's preview does not prove what the room receives through a switcher or projector.
For a hypothetical wedding presentation, the laptop might show timing notes while the venue screen should show the film. If the room receives the notes display, switch the assigned output and retest before adding the real content. This is an assumed scenario, not a claim that every projector reverses display numbers.
Check the moments before and after playback. Closing a full-screen video can expose the desktop even if the movie itself is routed correctly. Prepare a neutral holding screen and agree with the operator how to return to it. Pause unrelated notifications using the system controls available to you, and close unnecessary personal windows before the event.
Approve from the guest position
Watch from where attendees will sit. Confirm that only intended presentation content appears during starting, pausing and ending. Test sound separately through the venue speakers. Repeat the sequence after the expected reconnect or restart, especially if the operator will use a different cable path.
Save a short handover note explaining the actual display arrangement and start procedure. Acceptance means the complete audience sequence is correct, not merely that presenter view is enabled. For a film from Imagild Film Studio, rehearse this handoff with the final event copy so the venue operator can repeat it confidently.
