A cloud-synced folder can show filenames and thumbnails without holding all the file bytes locally. Before depending on that folder offline, make the required assets locally available using the provider's documented controls, wait for completion and open the actual files without a network connection. A visible directory is not an offline-read test.
Distinguish visibility from availability
Microsoft's Windows Files On-Demand guidance distinguishes online-only, locally available and always-available files. It also explains that storage management can affect local availability. The macOS guidance documents different interface behavior. Do not assume every cloud service uses the same icons or menu labels.
The creative risk is practical: a presenter sees the approved portrait and film names before leaving home, then discovers at the venue that some assets still require a download. A thumbnail or a previous successful preview may have been enough for browsing, but not for the later offline workflow.
Prepare the files you actually need
Make a short departure list containing the exact final master, any viewing copy, essential source and required external project assets. Select only what the event needs so download progress and local space remain understandable. Do not let that temporary selection replace the wider archival plan.
Use the provider's supported offline-retention setting when appropriate. Wait for the transfer and inspect its status, then open the saved files from the intended folder. For video, seek through several sections and check the end; for a layered project, inspect its linked media as well as the document. A project file available offline can still depend on online-only images elsewhere.
Copyable offline handoff brief
Prepare these identified approved assets for offline use on the receiving device. Complete supported local downloads and mark required files for offline retention where available. Afterward, disconnect only for a controlled test and open each required asset from its real delivery location. Record missing dependencies; keep the source archive unchanged until the receiving test passes.
This checklist is proposed, not a claim that a particular laptop has passed. Do not sign out, delete cloud files or reset synchronization merely to simulate an outage. A reversible network test on an appropriate device is enough to check the intended scenario.
Accept the receiving workflow, not just local icons
After downloading important Imagild assets, keep them in storage suited to your retention needs. A synced folder can be useful but should not be assumed independent of cloud deletion or account access. Offline availability and an independent backup are separate properties.
Record which device and location passed the test, and repeat it after replacing the final file or changing linked assets. If you free local space afterward, the earlier offline result may no longer apply. Accept the handoff when the actual receiving device can read and use the required files without retrieving missing data, not when a browser list or attractive thumbnail looks complete.
